How it works

  1. Choose your package

    Create your account and open Settings, Switching. Choose the package you are coming from, or Excel if you have your own list.

  2. Give us access

    If your package has a connection, paste your key and click Fetch now. Otherwise drag your export or calendar file into the box: you first see a preview of what will happen, and nothing comes in until you click.

  3. We fill in, you check

    Whatever cannot come through a key, we add from exports. A checklist shows what is in and what is still missing. If something does not work, we help you.

Three ways to switch

Which way you take depends on what your old package can give you. Often it is a combination: what one way does not bring along, the other fills in.

With a connection

If your package has a key or API and there is a connection for it, paste your key and click Fetch now. Leave the page open: round after round, everything comes in.

While you work in both side by side, the connection keeps your calendar up to date every night. Whatever the key does not provide, such as your full address book or old invoices, you add with an export.

With an export

Create an export as Excel or CSV in your package, or use your own list. Drag the file into the box and we recognise the columns, such as date, show, venue and fee.

  • Shows, contacts, invoices and expenses, as far as your export contains them
  • You first see a preview of what will happen
  • Whatever we are not sure about, you link yourself
  • Nothing comes in until you click Process

With your calendar, or together

If your package or your own calendar can give you an .ics file, drag it into the box. If your package has no export, invite us as a user: then we look along and move it over together with you.

  • Fees and invoices are not in a calendar

What you bring over from another package depends on what your export contains. We do not bring over contracts from your old package automatically: you keep those as files.

Switching safely

  • Your key stays encrypted

    We store it encrypted, and you can disconnect a connection with one click. Keys and login details from the switching questionnaire are deleted as soon as your switch is done, and in any case after 30 days.

  • Only you and your team

    What comes in sits in your own organisation. No other client can access it, and your team members only see what their role allows, such as fees and files.

  • We read, we delete nothing

    We change or delete nothing in your old package. In Ultimate we never overwrite anything you changed yourself, and importing again only fills in empty fields.

Questions about switching

What does switching cost?

Switching itself is free, on every plan. You only pay for the plan you choose, and you try it free for 14 days first, with no credit card. Artist costs €19.00 per month excl. VAT and Ultimate Artist €49.00. Agency costs €79.00 plus €9.00 per active artist, Ultimate Agency €99.00 plus €12.00.

Can I keep my old package running alongside Ultimate at first?

Yes. If you work with a connection, Ultimate keeps your calendar up to date every night for as long as it is switched on: new shows are added and empty fields are filled in. If your old package moves a show or the fee changes, you see that on the booking and you choose: take it over or leave it as it is. Without a connection you simply import again later: that only fills in empty fields and creates no duplicate shows. What is in Ultimate never changes by itself.

Won't I end up with duplicate shows?

No. A show from your package belongs to an existing one if the date and title are the same, and then we only fill in empty fields. If it only looks a bit similar, we ask you instead of guessing. With our first client not a single show came in twice, and you are welcome to import a file twice.

What if my package is not on the list?

Then choose Another package, or Excel if you have your own list. Almost every package can give you your data as a file. We check the columns with you, and nothing is saved until you click Process.

What does not come over automatically?

We do not bring over contracts from your old package automatically: you keep those as files. Beyond that it depends on your package and your export. A calendar brings the date, title and place, but no fees or invoices. If your export contains no commission, that does not come over either.

What happens to my key or password?

A key is stored encrypted. You only send login details along if there really is no other way: those are encrypted too, only the owner of Ultimate Bookings can read them (every time he opens them, that is logged), and they are deleted as soon as your switch is done, in any case after 30 days. Change your password in your old package once we are done.

Can I get help with switching?

Yes. If something does not work, we help you personally. You get an answer from a human within 48 hours.
